The challenge

The constantly increasing order situation, individual customer requirements for order processing and the advancing digitalization in the logistics market require efficient order processing that is individually tailored to the customer. This requires lean and transparent workflows and suitable IT system support. The aim is to automate routine activities to a greater extent and to avoid technical media disruptions due to missing interfaces and the associated duplicate data entries. Addresses to customers must be individualized. Monitoring during the entire order processing is to be made possible for integrated order controlling. TCI International Logistics would like to be able to identify and evaluate fields of action for future target procedures in its order handling processes and for the further development of the IT application environment. As a starting point, TCI decided to record the current ACTUAL processes.

Levels of process modeling

Based on PTA’s previous project experience, workshops with those involved in the process have proven to be the best method for analyzing and documenting the process. In coordination with TCI International Logistics, workshops will be held in blocks of several days to record the actual processes of the FCL/LCL sea transport for import and export and FTL/LTL land transport business units at operational and administrative/commercial level, and the results will be modeled simultaneously. In order to achieve a clear and jointly agreed result in a targeted manner, the process sequences are visualized. The notation language BPMN 2.0 is used for modeling. This notation is standardized worldwide (ISO/IEC 19510:2013) and has become established and proven internationally for the representation of functional and technical process flows. Another possible benefit for TCI: Technical feasibility or digitization using a BPM process engine can be realized with BPMN.

Logistics reference processes
The logistics reference processes introduced by the PTA form the starting point for the process analysis. These are adapted to the current actual order processing workflows at TCI International Logistics in moderated workshops with all process participants.

The project results

The result is the modeled main processes incl. detailed sub-processes are available for the current order processing of TCI International Logistics. All human and technical communication processes, process events and business objects are mapped. The models are linked to each other according to the process-related workflows so that the modeling tool enables quick navigation through the business processes.

This transparent and structured documentation made it possible to identify areas for improvement. This gives TCI the opportunity to make decisions on digitization projects and the further development of a suitable transport management system (TMS). Looking to the future, the developed process repository forms a good basis for the development of future target processes. This process library is the central knowledge base for cross-divisional internal collaboration.
