Helaba Invest automates and digitizes invoice receipt with AI tool

Intelligent Document Processing (IDP) in use

Helaba Invest Kapitalanlagegesellschaft mbH is pressing ahead with its digitalization strategy and is using a powerful AI tool to automate the receipt of invoices issued by various market players to individual investment funds. The company relies on Intelligent Document Processing (IDP) and the proven AI expertise of PTA IT-Beratung. IDP is an innovative technology that works with trained algorithms and can be used to process both digital documents and scanned paper documents. IDP makes this possible by using AI technologies such as Machine Learning (ML), Natural Language Processing (NLP) and Optical Character Recognition (OCR). IDP is thus able to imitate human abilities such as identifying, processing and categorizing incoming documents.

Helaba Invest Kapitalanlagegesellschaft mbH was founded in 1991 as a wholly owned subsidiary of Helaba Landesbank Hessen-Thüringen (Helaba). Helaba Invest stands for over 30 years of expertise in institutional asset management. Since its foundation, Helaba Invest has developed from a specialized provider of investment solutions for savings banks into one of the leading capital management companies and asset managers in Germany. Its clients include companies, insurance companies, pension funds, foundations and large asset managers. They have a special responsibility: many people’s assets are entrusted to them. They must therefore pay particular attention to investing the funds securely, profitably and with sustainable returns over the long term. The same applies to banks looking for attractive investment solutions for their own investments. Helaba Invest has established a strong position in institutional asset management, from which it is systematically driving forward its digitalization strategy and now uses a powerful AI tool to automate the workflow for incoming invoices. This not only relieves the burden on the workforce, but also ensures greater speed, agility and error-free processes.

Expertise of AI professionals highly valued

The Helaba Invest and PTA project team

Helaba Invest relies on the cloud-based AI technology Intelligent Document Processing (IDP) to automate invoice receipt and the associated checking, processing and allocation of mass data such as invoice date, amounts and currencies. The IT and AI professionals at PTA IT-Beratung in Mannheim are responsible for the implementation, continuous development and secure operation of the cloud solution in German Google data centers. Using IDP, Helaba Invest processes incoming invoices, identifies all relevant invoice data, extracts, organizes and classifies them and finally transfers them to the designated back-office systems for further processing and archiving.

The added value: agility - efficiency - quality

Helaba Invest is laying a solid foundation for lean and efficient digital processes throughout the entire company organization with intelligent, automated invoice receipt processing. Against the backdrop of the much-discussed shortage of skilled workers, Helaba Invest’s use of IDP relieves its employees enormously, as the time-consuming manual checking of mass data in the form of incoming invoices is no longer necessary. Two major advantages that Helaba Invest has gained from the intelligent digital processing of its incoming invoices are the time saved through efficient and lean processes as well as the transparency and end-to-end control within each digital invoice run.

Customer testimonial

“We save the most time with the use of IDP by establishing a lean, clearly defined invoice workflow. Invoice processing and data extraction using AI is much faster and generates fewer costs. Thanks to the process transparency and our digital workflow, we can provide all responsible employees with the necessary invoice data at the same time.”

Digitalization goes hand in hand with continuous development

However, the automated processing of incoming invoices by no means exhausts the capabilities of the cloud-based AI solution provided and hosted by PTA. The AI experts from Mannheim are continuously developing the complex infrastructure on which the IDP solution is based. Current developments such as Large Language Models (LLMs), which became popular with the advent of ChatGPT, are being used by PTA programmers to further optimize AI scenarios. Based on these models, AI will not only learn context, derive intentions and be creative on its own in the future – it can also be trained for a wide variety of processes.

Takeover and further development of an AI application for information extraction

Helaba Invest scores with intelligent, automated invoice processing

In most cases, manual document processing is time-consuming and ties up a lot of human resources. The use of the IDP AI solution completely eliminates this effort at Helaba Invest. IDP reads and analyzes incoming invoices, assigns them and converts them into structured, digital data. In this way, Helaba Invest can automate manual processes and, with the support of the AI solution, increase operational efficiency and achieve significant cost and time savings. The accuracy of the mass data obtained is impressive: By combining machine learning with human validation, IDP provides those responsible with precise invoice data that speeds up and streamlines the invoice workflow. Faster processing times for large volumes of data will significantly improve Helaba Invest’s productivity. This not only increases service quality, but also ensures greater agility, as the cloud-based IDP solution can be scaled quickly and easily.
