The optical archiving of outbound invoices is carried out at the customer via the SAP interface ArchiveLink to the content management system windream. For this purpose, the sales folder was implemented in windream. Archiving of third-party invoices will be added to the sales folder. The previously-supported late indexing via RFC function modules is converted to early-indexing via Web services.

The optical archiving is used for both incoming and outgoing documents. On the purchasing side, the supplier invoices are stored in windream. On the sales side, a distinction is made between fees and third-party transactions (i.e. different index features are delivered to windream, via which the underlying invoices can be found again). The post-indexing operation is implemented on the purchase side entirely via a Web service (early indexing). The Web service is written in .net and can be consumed in SAP. The trigger for the process is an event triggered upon archiving via the SAP interface ArchiveLink. The entire windream archiving process was placed under review by an SAP archive architect at the beginning of this year.
Subject description
In connection with the new legal regulations §§ 146, 147 and 200 of the German Fiscal Code (GFC) coming into effect on 01.01.2002 and the new guidelines regarding data access and auditability of digital documents (GDPdU), financial authorities will be given expanded access rights to systems and data. For this reason, incoming and outgoing documents should also be archived. When saved in windream, all documents are provided with document-specific index features (e.g. document properties such as document number, amount, company code, date, business year, supplier, author, specialist department), that can be used to search for the documents in windream. This operation for the required post-indexing of the documents is represented by windream via RFC function modules to be called in SAP (late indexing). This process is to be replaced by the use of windream Web services (early indexing).
